Reception/Secretary Farnham - Farnham - Surrey

Client:
Our client is a house builder operating within the south east, with there head office based in Guildford. The company is run by a small enthusiastic team, due to growth they now have an opening within the admin department for a Receptionist / Secretary. This role has a number of responsibilities as outlined below. Audio typing skills and English GCSE are considered essential qualifications for this role.
Role:
• Reporting to the Directors.
• Answering the phone, managing the switchboard, forwarding calls and taking messages. Passing messages on in a timely manner.
• Assisting with sales enquiries when the sales team are engaged or on appointments.
• Assisting with customer care queries when required.
• Relaying contents of faxes and emails when Directors are out of the office.
• Audio-typing letters, memos, emails, minutes.
• Assist with secretarial services to Directors and Managers when required.
• Providing holiday cover for other secretarial staff.
• Keeping filing up to date.
• Photocopying.
• Opening, date-stamping and distributing post when required.
• Ensuring post ready for collection by Royal Mail and franking machine maintained and topped up with credit.
• Greeting visitors, signing-in and offering drinks and other general reception duties.
• Additional admin duties, some of which are shared by all members of the admin team, may include the following:
- Ordering stationery and ensuring an adequate stock is held at all times.
- Regular distribution of incoming faxes.
- Maintaining photocopiers, fax machines and franking machine in terms of copy paper supplies, toner and meter readings. Liasing with repair engineer.
- Meeting room bookings.
- Office events.
- Liasing with managing agents of office.
- Filing.
- Sundry matters.
You:
The ideal candidate will have a proven background within a similar role, demonstrating excellent communication and people skills, the ability to multi task, managing your own time, prioritising your work load. You will have a very friendly professional hard working attitude, be a team player and happy to support other areas of the business. Within this role you will be required to do a lot of typing so a typing qualification and proven experience with audio typing is essential.
Benefits:
In return this position offers free parking, 22 days holiday, pension, health cover, annual salary review. Salary varies depending on experience £20 - £23K
